Bulk Import Launch: Add Up to 100 Artworks at Once
July 7, 2025

Keep your Artsy page fresh in a fraction of the time. Bulk Import lets you add up to 100 artworks at once so you can skip repetitive data entry and focus on the finishing touches that drive discovery and sales. Choose a spreadsheet upload—or try our new AI Assistant to drag-and-drop spreadsheets or PDFs and have your data auto-formatted for you.
What’s new
Import up to 100 artworks at once using a spreadsheet (.XLSX or .CSV).
AI Assistant: drag & drop XLSX, XLS, CSV, or PDF files to auto-format your data and speed through setup.
Guided field mapping & validation so columns line up with CMS fields.
Review before import: catch missing details and fix errors in seconds.
How it works
1) Access Bulk Import
From the Artworks page in CMS, click Import Artworks (Bulk Import).
2) Choose your method
Spreadsheet template upload
Download our template (or use your own with the same fields).
One row per artwork, up to 100 artworks per import.
Save as .XLSX (recommended) or .CSV.
AI Assistant (beta)
Drag & drop XLSX, XLS, CSV, or PDF.
Performs best with exports from inventory systems, price lists, or checklists.
Designed PDF catalogues are supported but may process more slowly or format inconsistently.
💡 Bulk Import uses your default units and currency from Settings. If your file uses different units/currency, update Settings first.
3) Map fields
Match your columns to CMS fields with on-screen guidance.
4) Review & Confirm
Resolve flagged issues, fill in any gaps, and confirm the import.
5) Finish in CMS & publish
On the Artworks page, complete remaining fields (e.g., Shipping, Availability) and add polish (e.g., 2+ images, Artist Bios), then publish.
💡 It saves time to import in bulk, but publish slowly over time to maximize exposure and collector interest. Your Artsy Liaison can help with strategy.
What can I import?
Required fields (needed to import; anything missing can be added in Review & Confirm):
Artist Name (first + last)
Artwork Title
Year (single year or range, e.g., 1992–98)
Price (numbers only; currency symbol set by Settings)
Use a hyphen for price ranges (e.g.,
5000 - 7500
)Use a period for decimals (e.g.,
99.99
)
Optional fields:
Inventory ID • Medium • Materials • Artwork Dimensions • Framed Dimensions • Certificate of Authenticity • Weight • Artwork Condition • Signature (+ Placement) • Classification • Series • Description • Exhibition History • Bibliography • Provenance • Image Rights
Optional: add images in bulk
Add image filenames to your spreadsheet under an “Image Files” column.
To add multiple images: separate filenames with a comma or vertical divider ( | ).
Order them how you like—or reorder later in the flow or on the Artwork page.
Upload image files matching the spreadsheet filenames.
